Users are staff members with named roles: Administrator, Finance Admin, Manager, Physio, Board Member, Department Head, and Commercial Manager. Bar staff and hospitality staff are not counted toward your user limit.
Arena fits clubs that need 60-or-fewer staff seats and are happy on the shared support queue. Enterprise is for organisations needing unlimited seats, a named point of contact, a contractual SLA, custom integrations with existing systems (e.g. Kitman, Wyscout, accounting platforms), or a Data Processing Agreement. Yes — upgrade or downgrade at any time. When you upgrade, you are charged the prorated difference immediately. When you downgrade, the credit is applied to future invoices.
